Home is the dashboard that every user who logs into Folio lands on first. Home includes the following snapshots:
To Do List
This snapshot tells a user everything that they have to do in Folio.
My Snapshot
This is a personal snapshot of the things that you are responsible for in the organization. This snapshot includes:
- Folios
- Open Folios – This displays the number of Open Folios assigned to you.
- Expiring This Month – This displays all the Folios with End Date within the current month
- Expiring Next Month – This displays all the contracts with End Date within the Next Month
- Actions
- Overdue (This includes overdue actions that have not been started and overdue actions that are in Progress)
- Doing (this includes all overdue Actions irrespective of whether they have been started or not)
- Due This Month (All due this month)
- Due Next Month (All Due next month)
- Checklists
- Overdue Checklists
- Doing - Checklists that are in Progress
- Due This Month
- Due Next Month
- Checklist Reviews
- Overdue Checklists
- Doing - Checklists that are in Progress

You can click on the gearwheel to add or remove either Folios, Actions or Checklists from your view.
Open Folios
This snapshot provides a quick overview on number of open Folios. The center of the graph displays the total number of contracts.
- This snapshot represents all business units by Default. You can limit the data to either one or more business units by clicking on the gearwheel and selecting those business units.
- By default it will represents all Folio Templates and all Folio Template Categories. However, you can restrict this to one or more template or category if you wish.
- You can drill down to a stacked bar chart by clicking on each segment in the pie chart.
- The bar-chart will then show contracts in that Folio template by Folio Stage. Each stage is segmented into the business units those contracts come from.
- You can click on segments on bar chart and directly search for the relevant data.
Folios with Issues
- This snapshot aims to identify open Folios with things that are overdue.
- By default the snapshot represents all Business Units You can limit the data to either one business unit, 2 or more business units by clicking on the gearwheel.
- By default the snapshot will represent All Contract Templates and Folio template categories. By clicking on the gearwheel you can restrict this to one or more templates or categories.
- The snapshot needs to represent the number of Folios (in this case primarily contracts) that have the following issues:
- Credentials - Overdue requested/ Overdue not requested yet
- Actions – Overdue Not Started / Overdue Doing (in progress)
Expiring Folios
This snapshot will represent all Folios that are expiring over the next 12 months.
- By Default this snapshot will represent all Business Units. You can limit this to either one business unit or a selection of business units if you wish by clicking on the gearwheel.
- By default the snapshot will represent All Folio Templates and Template Categories, you can restrict this to one or more Folio Template or Template Category by clicking on the gearwheel.
- This report displays expiring contracts for the next 12 months. Each month representing a data point.
- Mousing over data point displays break down by contract template.
- Clicking on the data point will take you to the actual search.
Actions
- This snapshot will display the status of all actions in Folio.
- By Default the snapshot represents all Business Units You can limit the data to either one business unit, 2 or more business units by clicking on the gearwheel.
- Data will appear in a stacked bar chart and you can select to look at either actions over the:
- Last 4 months
- Last 4 Quarters
- Last 4 Years
Overdue Actions
This snapshot shows an aging analysis of overdue Actions and is broken down by action priority - you can drill down into the action results that need to be completed by clicking on the bar.
Action Status by Categories
This snapshot separates the actions into categories, and then breaks down how many actions with each status are in each category:
You can click on a particular section to see what actions in that category have that status.
Risk Matrix
This snapshot will show you the Risk Matrix set up for your business.
The numbers represent Folios with Risk Assessments that fall under those categories in the Risk Matrix. Clicking on the numbers takes you to a list of the Folios under that category.
You can also customise what type of Risk Matrix is displayed by clicking on the gearwheel on the right side of the snapshot and selecting Settings.
From this screen you can choose what type of Risk is displayed (between Inherent and Residual) if your business uses a Two Risk Matrix setup, and you can filter the Folios displayed in the Snapshot by Business Unit, Folio Template or by Folio.
Notes
This snapshot will show you the latest Notes made in Folios that you have access to:
The 5 latest notes are shown by default, and to see more you can go to the next page of the snapshot:
Folios Waiting for Approval
This snapshot gives a chart of Folios that are waiting for approval to move to the next stage, and groups them into a range for how long they have been awaiting approval:
You can also go into the settings for this snapshot and filter it down by Folio Template, Business Unit, or Approver:
Scorecard
The Scorecard snapshot allows you to see details about all of your contracts at a glance. When you first add this snapshot you will see a list of Folio Templates, and a count of how many Folios that you have access to are in that template as well as a count of Entities attached to those Folios:
The Scorecard can be edited by clicking on the Edit Scorecard button. This will bring up a window where you can change the breakdown of your Scorecard:
For instance choosing the Risk Rating option will show you the number of Folio in Low Risk, the number in Medium Risk, and the number in High Risk:
This works similarly for the breakdown by Program and Location. You can also filter your Scorecard, so you can have it only show you certain templates/risk/programs/locations. Lastly you can add other numeric or select fields to the scorecard to increase the amount of information you are getting at a glance:
If you click on one of the rows you will then be taken to a full list view with filters applied to only show you those Folios.
Lexis Nexis Alerts
This snapshot is for Folio users who are subscribed to Lexis Nexis and are using the integration with Folio to pull in obligations. This snapshot show alerts that have been sent out for obligations, separated by template:
You can then click on one of the templates to see a list of the alerts and view more information on them. All LexisNexis Alerts are visible to all full users.
Folio Stages
This snapshot is used to show an overview of a particular Folio Template and how many Folios are in each stage, broken up by Business Unit:
This snapshot can only show one template at a time, and the chosen template can be changed using the Settings for the Snapshot:
Matrix
The Matrix snapshot allows you to see the number of times the matrix value appears across all folio templates that use the matrix field.
Note: If the matrix was used in a table it will count each time it appears in the table separately.
From the settings modal you can change the matrix field that is shown on the snapshot.
