This report provides a list of Folio records and how long each record spends in a stage. It is a useful report to find bottlenecks in the workflow as it clearly shows in which stage a folio record spends most time.
You can find this report in the Reports section under Built In Reports.
The Folio Workflow Timeframe Report can only run on one folio template at a time.
You can select what you would like to include on the Timeframe on top of the report, these will add a column for each stage on the workflow.
The options available are
| Approval Requested | The Date and Time that the approval to leave this stage was made |
| Approval Request Comments | Any comments from the user who submitted for approval |
| Approved At | The Date and Time that the approval was completed |
| Time in Stage | How long the record spent in the stage, this is configurable by the Show Times in setting and can be Minutes, Hours or Days |
| Approval Time | How long it took for the approval to be completed, this is configurable by the Show Times in setting and can be Minutes, Hours or Days |
| Approvers | The Approvers for that Stage |
| Move To | For each stage it will tell you which stage the approval was to move to |
You may add fields from the selected folio template which you would like to include in the report and drag and drop the fields to order them in the sequence you prefer.
By default, the report will have Folio Key, Title, Person Responsible, Business Unit, Closed At & Age fields. You can also sort and group your report by different fields based on your requirement.
You can Export this report to PDF or Spreadsheet, to export the report to PDF, just click on Export OR click on the chevron and select PDF. To run the report as a spreadsheet, select spreadsheet and a CSV file will be exported.
This report also has Summary and Charts options:
The summary enables you to view the number of Folio records by stage in a time range or by how long it took for records to be approved out of each stage. For e.g., the number of Folio records in the first stage that are over 12 months in that stage.
