Lookup Folios report allows you to create a detailed report on Folios and folios lookup references. The report is split into two sections, the left and the right. On one side it will show you the folio details and on the other side the details of looked up folios.
You can find this report in the Reports section under Built In Reports.
This report also allows you to filter on the folio fields for both Left and Right hand sides.
This report works both ways if no filters are applied, i.e. Folios with lookup folio fields will be displayed on the left side first, and then the right side will show the looked up folio that has been used as an answer (If there's a folio with no answer it will still be visible on the left but nothing will be displayed on the right side of the report.). Then the report will also show information about a Folio that is used as an lookup answer on the left side as well, with the right showing the folio that uses it as an answer.
It is always better to filter the report, for example you are looking for a report where you want to see your Incident records and all Continuous Improvement records referenced on them. To achieve that you can select the Incident Template on the Left Filters and select Continuous Improvement on the Right Filters.
Then you can add the fields from the selected folio templates on both left and right sides which you would like to include in the report and drag and drop the fields to order them in the sequence you prefer. You can also add the Lookup Field to this report if you are generating it for multiple templates. It’s better to add it as a first field on the Right side of the report, this field displays the Folio Lookup field name on which the folios are added as an answer.
You will be able to sort and group your Left side of the report by different fields but on the Right side only sorting is available.
You can then Export this report to PDF or Spreadsheet, to export the report to PDF, just click on Export OR click on the chevron and select PDF. To run the report as a spreadsheet, select spreadsheet and a CSV file will be exported.
Lookup Folios Report also has Report Suggestions which list all possible reports that you can build using this report. It basically lists all Folio Templates with Folio Lookup fields and their possible combinations.
For example if you have an WHS Incidents & Hazard Template with a Folio Lookup field which uses Continuous Improvement Template then you will see two report suggestions under Report Suggestions 1). WHS Incidents & Hazard - Continuous Improvement 2). Continuous Improvement - WHS Incidents & Hazard.
If you click on the first suggestion then Folio will automatically apply the WHS Incidents & Hazard and Continuous Improvement template filters to the Left and Right filters respectively. Also default view fields of WHS Incidents & Hazard and Continuous Improvement templates will be added to the Left and Right Fields list.
You will also see a message on the top that your report has been created successfully. You can then Preview & Resize the report, Export it or can continue building it by adding additional filters and fields as per your requirement.
When you generate the report it will show you the WHS Incidents & Hazard folio records on the left side and referenced Continuous Improvement folio records on the right side of the report.
If you want to generate the report other way around then you can click on the second option which is ‘Continuous Improvement - WHS Incidents & Hazard’.
