Data Import Rules
While you are uploading to Folio there are different rules for different field types, these rules are explained on the data import rules article here
Notificiations
The import for Folios, Action/Checklist Assignments and Entity & Contacts can trigger assignment emails to the person responsible or an automation email to the person responsible and selected users.
If on import you don’t want the emails to go out, you can switch off the ‘Send Notification on Import’ button. It will ensure that no unwanted emails will go out during the import process.
Creating New Answers
When importing data into Folio, if the import file contains custom single, multi, or hierarchy fields with answers that do not exist in Folio, you will be given the option to create them.
For example, in the below sample import file there are answers Misuse, Infringement & Interference which do not exist in Folio for the field ‘Incident Type(Aged/Community Care)’. When you will try to import it Folio will show you the error message and an option to create the missing answers:
If the missing answers are valid and you want them created during the import, you can switch on the 'Create Missing Answers' option. The system will then create the answers and add them to the field.
Please Note: This option is not available for the Folio locked fields like Locations, Programs, Business Units etc.
