Our July 2022 Folio Release includes features such as Date based automations, improved set up of dependent fields and more. Here is the full list of features in this release:

Scheduling Automations

Until now you could only trigger automations when an event occurs and conditions are met.

You can now schedule automations to happen after an event has happened and conditions are met. You can set up your Automation to be triggered a certain number of days or weeks after a record is Created or Closed or Moved to a stage, if conditions are met at that point in time.

For e.g. this feature could be used to check 5 days after an incident record is created and if the record is still in the incident investigation stage. If it is, the automation could trigger an email notification to the Senior Management Team that the incident has not been resolved yet.

Automations Based On Dates

Automations can now also be triggered based on any Date field on the Folio record, you can have the automation triggered On a Date, Before the Date or After the Date

Automation to send Notifications to All Users in a Business Unit or a Location

Automation Notifications can now be sent to all users in a Business Unit or in a Location. This feature will save you having to add or remove users from the automation every time users in the business unit or location are changed.

Improvements to the setup of Folio Templates, Checklists and other Layouts

We have made some changes to the editing of fields on Folio Templates, Questions on Checklists and on other Layouts.

  • All fields/ Questions now include a field type label, so that you can easily tell what type of field it is.

  • Sections and Tables will no longer collapse after you have edited a field and you return to view all fields.
  • Previous and Next buttons allow you to easily move through the fields in any layout.

  • On Checklists you will also now find the additional options (Mandatory, Evidence/Comments, Actions, Deliverable) under the ellipsis at the end of the questions

Easier setup of Dependent Fields

  • The Dependent button that enables you to set up dependencies is on the field itself making it easily accessible. It also tells you if there are dependencies on answers in that field or not.

  • Clicking on the Dependent button will now show you all dependencies on answers in that field.

  • We have made it easy to identify fields that are dependent on answers in other fields by adding the dependent icon. Hover on the dependent icon to view both the fields and answers that are the source of the dependency.

Contact Lookup Field Improvements

We’ve made improvements to Contact Lookup fields:

  • You can now Create new Contacts from a Single or Multi select set to Lookup Contacts
  • You can also now restrict the Contacts a user will see in a Contact Lookup to only be from the Entities selected in another field

DocuSign Witness Signatures

We have added the ability to have witnesses to witness DocuSign Signatures. Each signer will have the ability to nominate a witness.

Multiple Azure and Okta SSO (SAML based)

Folio now enables you to set up more than one Azure or Okta SSO (must be SAML based) in the one Folio instance.

Other Changes

  • Linked Folios Report now allows users to filter on Linked Folios.
  • Action Assignment Import "All to Complete" option now available.
  • When deleting a User Profile you are now warned and asked for a reason for deletion
  • A New Warning modal is now shown when bulk retiring Actions and Checklists to prevent you from accidentally retiring the Action/Checklist and all of its assignments
  • Risk Reviews will now show the Next Review Date even if it is more than 365 days in the future.
  • Security and Sign on is now in its own section.
  • Email Improvements: We have updated the design and style of the following emails. You can find them in the  email catalogue:
    • Checklist Moved Back
    • Email to Folio
    • Public Link Save and Return Final Reminder
    • Public Link Closed
    • Public Link Confirmation
    • You have been made a Folio Approver
    • Replacing a User
    • Responsibility Email
    • Automations Emails
