Hub is a searchable repository of policy and procedure Documents and is visible to Users that have signed in to Folio. Both Full Users and Lite Users can access Hub and view Documents.
A Full user with at least Read Rights to one or more document categories will see these documents in Hub. A Lite User will see documents in the document categories that they have rights to in Hub.
- To Access Hub, click on Hub in the main menu of Folio
- The search bar allows users to search by Title, Key, Description, Tags, Filename or URL
- You may also use the Document Category buttons under the search bar to quickly filter documents in one or more categories or to filter for Bookmarked Documents. Users can select more than one category at a time. To stop filtering on a category, click on that category button again.
- Users can bookmark Documents by clicking on the bookmark icon which appears on the right top corner of the document card when a user hovers over it. To unbookmark them click on the bookmark icon again.
- Documents may have been bookmarked for you, the bookmark icon for these Documents will be green. These Documents cannot be unbookmarked.
- Users can sort the documents on the Hub by Document Category or Title.
- Users with Document Edit rights will be able to navigate to a list view of the Documents from Hub.
- Users may click on the Advanced Search icon on the right hand side of the search bar for structured filtering options.
- Advanced Search provides the ability to search by Title, Document Category, Description or Tags in a Selected Filters style search. The Document Categories filter in Advanced Search provides a list of Document Categories and even allows you to include Sub Categories in your search. The Tags filter allows you to see a list of tags that you can filter by.
- If you are in Advanced Search click on Basic Search to switch back.
- Document Card: Every document in Hub is represented by a card. The card includes the Document title, Document Category, Document Description and Tags. The icon is the Category icon. The colour of the card is derived from the Category colour.
If you want to see only the compact version of the Document Card on the Hub, which shows only the Document Title, Document Category, and Bookmark icon, go to the Documents section on the Administration screen and click on the Documents Default.
On the Document Default screen change the settings of Card Style form Detailed to Compact
On the Hub, you will then see the Document Card in a compact view. This view is useful when your document record lacks a description and tags, and you want to fit more documents on the screen.
Please Note: The Compact card view does not restrict your search ability on the Hub, you will still be able to search by Title, Document Category, Description, or Tags.
