The Documents List screen is a list of all Documents and Draft Documents. You can get to the Documents List Screen by clicking on Resources and then on Documents.
The Document List Screen is only visible if you have Update, Create or Delete access rights to Documents. If you have only Read Rights to Documents, you must view these Documents in Hub.
The Documents List screen has 2 tabs, Documents and Drafts.
The Documents Tab
The Documents tab shows you the list of all Active and Inactive documents. On the Documents tab you can add the Draft Key column which is helpful in finding out the list of all existing documents that have drafts. If the Draft Key column is blank that means there is no draft for that document.
The Drafts Tab
This feature is only available with the policy & procedure add-on.
The Drafts tab shows you the list of all draft documents which are not yet published. These could be a Draft of a new Document or a Draft version of an existing document. The Drafts tab is only visible if there are Draft Documents to display.
The Drafts Tab has the following useful filters:
Draft Approval Status filter
No Approval: It shows draft documents which have no publishing approvers and can be published directly without any approval.
Not Requested: It shows draft documents with publishing approvers but are not submitted for approval yet.
Requested: It shows draft documents with publishing approvers which are submitted for approval.
Rejected: It shows draft documents with publishing approvers which are rejected by the approvers.
Additionally you can use the Publishing Approver Status filter along with Publishing Approvers to filter draft tabs screen specific to one or multiple approvers.
Publishing Approvers Status filter
This filter must be used along with the Publishing Approvers filter, to filter for the approval status of one or more approvers. This filters options are:
No Approval: It shows draft documents with no approval required from the selected publishing approvers. The list would show all drafts without any approvers and drafts with other approvers.
Not Requested: It shows drafts with no approval requested for the selected publishing approvers.
Requested: It shows drafts with approval requested for the selected publishing approvers.
Approved: It shows drafts which are approved by the selected publishing approvers.
Rejected: It shows drafts which are rejected by the selected publishing approvers.
