The Checklist Create Link enables users to self-assign a Checklist. The Checklist Create Link is a URL that can be shared by QR Code or Link with any user (including Lite Users), allowing them to assign the checklist to themselves without needing access rights to it.
Some examples of Checklist Create Links, that users needs to self assign and complete include:
- Work Health & Safety Checklist
- Site Inspection
- Room Inspection Checklist in an Aged Care Facility
- Forklift pre-start checklist
Note: Checklist Create Link can't be enabled if the checklist reviewer settings are set for assignment reviewers.
Setting up Checklist Create Link
To set up the Checklist Create Link, go to the Checklist, click on the Create Link tab then click on the Activate button.
On activating the link you will see the following sections:
Create Link Settings
The Create Link settings section enables you to set the following:
- Name: Name of the Checklist Create Link that the user sees after clicking on the link.
- Instructions: These are the instructions displayed to the user on how to use the Checklist Create Link.
- Instructions Colour: This is the background colour that the instructions are displayed on.
Create Link Due Date Settings
The Create Link Due Date settings section enables you to set the due date and repeat schedule that will apply when someone assigns the Checklist to themselves using the Create Link. Users can view these settings but cannot edit them.
Users have the following options:
- Due Date: You can configure the due date of a create link checklist to be automatically set to be a certain number of days, weeks or months after the checklist has been assigned
- Repeats: Create Link Checklists can be set to not repeat or alternatively can repeat as per the usual repeat options of other checklists.
Assignment Fields Settings
The Assignment Fields settings section allows you to configure the values for the assignment fields that appear on the Checklist Create Link.
You have the option of pre-filling the values in these fields which would make them read-only for the users completing the checklist or alternatively you may leave them blank to allow the user completing the checklist to fill them out.
In the example below, Business Unit has been left blank which means that the user completing the checklist will be able to fill in the Business Unit.
Linked Folios
Linked Folios allow the user to associate a checklist to a Folio. You may have a room audit that is linked to a room on a room register or an asset audit that is linked to an asset on the asset register. These records will be linked Folios.
There are three options for Linked Folios on Checklist Create Links, they are:
- Hide - Linked Folios will be hidden on the Checklist Create Link.
- Select - Every Checklist created will be linked to the selected Folios.
- User Selects - When using the Checklist Create Link, User will be able to select Folios to relate to each checklist. Additionally you can limit the user to selecting from All Folio Templates or from Specific Folio Templates. You can also limit them to only being able to select Open Folios, Closed Folios or All
Sharing the Checklist Create Link
The Checklist Create Link can be shared via a URL, a QR code or a Launchpad.
To share the QR Code, click on Show QR Code and then click on the Download button, to download the QR Code. You can add the QR Code to posters or other notifications which you may publish in facilities for users to access.
You can also click on the Copy button to copy the Checklist Create Link, which you may publish on your website, intranet or other suitable locations.
The Go to Link option simply takes you to the Checklist Create Link.
Launchpad Card Settings
The Launchpad Card settings are required if you are sharing the Checklist Create Link on a Launchpad. This section allows you to select the colour and icon for the Checklist Create Link card that will be visible on any Launchpad it is added to
