If a user with edit rights to a Folio (such as Person Responsible or an approver) with the send back to submitter option turned on finds an issue with the information provided, they are able to send the Folio back to the person who submitted it, and have them amend the form and resubmit the record even if they do not have edit rights to the record.
To do this first navigate to the folio record:
Then under the ellipsis on the details tab for the record click Send Back to Submitter
Note, if the option is not there for the record then it will need to be enabled on the template by an administrator - see more information about activating it here
After clicking on this button a modal will appear prompting you to enter the reason that you are sending the record back. Once you have filled in the reason click Next.
Note: The modal informs you that the record will be moved back to its first stage and will be required to go through the approval process again once the submitter is finished with the record.
You will then be shown a preview of the email that will be sent to the submitter. When you are ready to send the email click Confirm:
After sending the form back to the submitter the folio will be placed in a Read Only state:
The Submitter of the record will receive the email that was previewed above allowing them to edit the record that has been sent back to them.
If you want to cancel submitter access this can be done with the Cancel Submitter Access button on the right side of the record, doing this will revoke the read only and the users access to the record if they did not have access. Note: the record will be submitted for approval to the first stage approvers for the record to be moved back to the stage before it was sent back to submitter
