Approvals can be set up by an administrator to approve of a folio/contract moving from one stage to the next (and to approve to close the folio/contract at the end of the workflow). An example would be approving a contract to move from the Contract Initiation stage to Contract Management or approving for a Risk to move from Risk Identification to Risk Management.
If you've been set up as an approver in a Folio template then you can approve or reject the move to the next stage by either:
1) Going to your "To Do list", clicking on the Status to be taken to the Folio so you can look it over:
2) Searching for the Folio that you have been made an approver.
3) When an Approval is required for a Folio, the approver/s will receive an email. The approver will need to click on the hyperlink in this email to either Approve or Reject the move to the next stage.
Once you have inspected the Folio you can approve or reject it by clicking the corresponding button on the right side of the Details page for that Folio:
If you select Approve then if you are the only approver needed the Folio will be moved to the next stage, or if there are other approvals still pending the Folio will remain in the current stage until the other required approvers perform this step.
If you select Reject then you will be prompted to enter a reason for your rejection, which will be emailed to the person responsible for the Folio, and recorded in the Notes section on the right side of the Details page for this Folio, below the stage list and approvals.
A rejected Folio, will stay in the same stage. It will need to be submitted to approval again to recommence the approval process. All the approvers will in that stage will need to approve it again for it to move to the next stage.
Once the approval is completed if you no longer have access to the Folio you will see the success message like the one below
