If you need to make a copy of a Folio, such as to make a variation of a contract, you can do this using the Copy button on the Details tab of the Folio:
This will bring up a modal with several options:
- Copy To: Lets you choose if you want the copy to be made in the same Folio Template, or a different template. There is more information on copying to a different template below.
- Title: Lets you change the title of the new Folio (Unless the Title is autogenerated on Create, in which case Folio will create the title based off that templates settings)
- Person Responsible: Choose the person Responsible for the new Folio.
- Additional Options: Lets you link the copy being made to the original Folio, and gives you the option of whether or not to copy the attachments from the current Folio to the new Folio
If you are just making a copy in the same template then do not change the Copy To option, then click Create (or Save as Draft if you do not want to publish the copy straight away)
When you Copy a Folio you are given the option to copy the data over to another Folio Template. Note that only the fields that the two templates have in common will have their data copied over. This means for example that if both templates have the same 'Contract Value' field, then the data in this field will be copied over when copying the Folio over to a different template. However if the first template has a 'Contract Value' field, and the second template does not then this data will not be copied over.
If you select a different Template to copy the Folio to then the one the Folio was made in, a new section will appear called Select Fields to Copy:
Here you have three options:
- All fields that are in both templates. All the fields that the two templates have in common will have their data copied over.
-
Selected Fields. This will bring up a list of the fields in both templates that match. By default all of the fields will be selected, but if you only want certain fields to be copied over then you can untick the box next to those fields:
- Only fields in the first stage of <Template>. This will only copy over the fields that match and that are visible in the first stage of the template that is being copied to.
Please Note: If you want to copy fields on a table from one template to another.
- All the fields on a table on a source template must exist on a table on the destination template to be able to copy.
- If only some of the fields are on the destination template, you will not be able to copy.
- The fields must all be on the same table on the destination template.
- The table on the destination template can have a different name and can have other fields.
- However other fields on the table on the destination template must not be fields being copied from one or more other tables on the source template.
When you are finished select Create to create the new copy, or Save as Draft to create the new copy as a Draft Folio.
