The @mention feature allows you to send a notification to a user/s while making a note on a Folio, Action, Checklist, Entity, Contact or Document.
To @mention a user, in the Notes box type @ and then start typing the user's first name,
@firstname
for e.g. @nick
you will see a list of users to pick from, the list is limited to 10 users, so if you have more that 10 users sharing the first name you will have to add their last name to bring them up. You can't have a space in an @mention, so replace the space between the first name and the last name with an underscore.
@firstname_lastname
for e.g. @nick_maslen
When you have found the user you want to send the notification to click on them.
Folio encodes your @mention with @{User's Avatar, User's Name}. Do not remove any part of the encoding as this will remove the @mention and no notification will be sent. After you have created a Note you can also click on the User's avatar to see their details on their User Card.
When you are finished typing select Add Note. The note will then appear in the list of notes on the Folio:
And will be sent to the specified user as an email.
Disabling @mentions for Lite Users
By default you can send @mentions to both full users and lite users in the system. If you would like to restrict this to only full users then as an Administrator you can click on the gearwheel in the top-right of the screen, then select Lite User Settings:
You can then click on Edit, and change the option for @mention Lite User from Yes to No:
