This article explains how to create action, action assignment and action result roles. Action Roles explained provides more detail on the components of an Action Role, an Action Assignment Role and an Action Results role and is recommended reading before creating new roles.
Here are a few common examples of access rights, typically provided for actions.
I want a user to be able to: | Roles Required |
---|---|
Assign an Action to Someone |
Action Role with Read Rights & |
View Action Results |
Action Results role with Read Rights |
Update Action Results |
Action Results role with Update Completed Action Results Rights |
Action Roles:
These roles give users Read, Update, Create and Retire access rights to actions. Action roles alone however will not enable a user to assign actions to others. Action roles need to be combined with Action Assignment roles in order for a user to be able to assign action to others.
Creating an Action Role
To create a new Action Role first go to Access Rights then All Roles then click on + New Role.
In Role Type select Actions.
In Role Name give the Role a descriptive name so that the Role is easily identifiable For Example “Strategic Actions - Manage Rights”
In Rights select Read, Update, Create and Retire
You can restrict the Role to particular Action Categories by clicking on Select Categories and selecting Categories to which the role applies. Click Save to create the new role.
Action Assignment Roles:
These roles give users access rights to action assignments. When combined with Action Roles they will enable users to Read, Update, Create and Retire actions assignments.
Creating an Action Assignment Role
In order for a user to access action assignments, they must at least have read access to actions i.e. they must have an action role in addition to an action assignment role.
To create a new Action Assignment Role first go to Access Rights then All Roles then click on + New Role.
In Role Type select Action Assignments
In Role Name give the Role a descriptive name so that the Role is easily identifiable For Example “Strategic Actions Assignments - Manage Rights”
In Rights select Read, Update, Create and Retire. Click Save to save to create the new role.
Action Result Roles:
Action result roles give a user Read, Complete and Update Completed Results rights to Action Results. You do not need Action or Action Assignment roles to enable a user to view action results.
Creating Action Result Roles
To create a new Action Result Role first go to Access Rights then All Roles then click on + New Role.
In Role Type select Action Result
In Role Name give the Role a descriptive name so that the Role is easily identifiable For Example “Strategic Actions Results - Read Rights”
In Rights select the appropriate access rights - Read, Complete and Update Completed Results
You can select if the user has these rights for selected Categories by selecting the option Select Action Categories and selecting specific Categories or alternatively selecting All Categories. Click Save to save the new role
All users will be able to complete an action that is assigned to them and do not need to be specifically given access rights for this.
