Folio Insights are a way to visualise the data in your Folio instance and draw conclusions from them. For instance you can create an Insight from incidents reported in your system over the last 4 months, based on the type of incident and segmented by location:
From this we can immediately see that all of the Injuries that have been reported are coming from the Sydney site. These Insights can then be saved for re-use, shared with other users, and downloaded as an image.
Types of Insights
There are four different chart types available for insights. Each type allows you to click on a segment to see more details on the records that fall under that category. For the examples below each chart shows Incidents reported over the last 2 years, based on the Incident Type. For the Bar and Bubble charts the results are further segmented by location:
- Bar:
For bar charts the x axis is the field that you are basing the chart on (Incident Type), and the y axis is the count of folios that fall under that category. Each bar is segmented by the location the incident occurred in.
- Bubble:
For bubble charts each large bubble represents an Incident Type, and each smaller bubble is a count of the number of incidents of that type that occurred in that location.
- Line:
For the line chart each line represents an Incident Type, with the x axis showing a timeline and the y axis showing the number of Folios created.
- Pie
For pie charts the data is segmented by Incident Type as a proportion of all Incidents.
Each insight can also be represented as a table by clicking on the Table icon in the top left of the insight:
Creating an Insight
To make a new insight, click on Dashboards on the top of the screen and select Insights:
If you have no existing insights you will see the default insight which is Folios created segmented by Person Responsible over the past 4 months. To make a new insight click on the insight settings button on the top left of the insight:
If you already have insights saved then you will see a list of your insights in the system, and a button in the top left that you can select to create a new one:
Either way a popup will appear that gives you the following options
- Chart Type: Select whether you want to represent the data as Bars, Bubbles, Lines or Pie. For more information on the different types please see the Types of Insights section above. Feel free to swap between the chart types to find the one that works best for you.
- Based On: Select the field that you want the chart to be based on. For e.g. Injury Type
- Segmented By: Select what you want the chart to be segmented by. For e.g. Business Unit
- Created At: Select a date range that you want to filter the results by

View: Select if you want the Insight to show the Chart or Table by default (when you view the insight you can still swap to the other view but this changes what the Insight shows by default)
If you choose a Line chart you will have four more options:
- Tracking Date: Select what date field you would like to have the x axis date be based on, by default it is on the date the Folio is created at.
- Compare With: Select a time period to compare the results with.

Intervals In: Select the intervals for the x axis of the line chart. The default is Month but you can pick: Day, Week, Quarter and Year
- Cumulative Data: Tick this option if you want the data displayed to be cumulative, i.e add the previous period to the current one.
The below Line Chart shows a comparison between incidents created in the current year vs the past year.
Next you will select the filters for the chart. The default filters are:
- Status: Open or Closed. Leave this option blank for both.
- Folio Template: Folio template the the record belongs to.
- Person Responsible: Person responsible for the record.
You can add more filters by selecting Add Another Filter.
Once you have finished selecting your options click on View to see the Insight:
You can then click on a particular section or cluster to see those records:
You can also download this Insight as an image by clicking the the ellipsis next to the edit button and selecting Download:
Sort Order
You can also change sort order of Bar and Pie chart by selecting Sort. The options are:
- Default will sort the answers alphabetically.
- High to Low will have the answers with the most values appear on the left
- Low to High will have the answers with the least values appear on the left.
Hierarchy Fields Rollup
If you have selected a hierarchy field for your insight to be based on then you will see the Rollup option. Selecting one of the levels will rollup the chart to the level you have picked, meaning you will only see the answers on that level you select on the Insight. Any records that have selected an answer above the level you pick will not be counted on the chart.
Custom Insights
Once you have created an Insight, you can save this as a custom insight by clicking on the ellipsis next to the edit button and selecting Save As:
Give your custom insight a name and then select Save:
You can then view any of your custom insights by clicking on Dashboards on the top of the screen and selecting Custom Insights:
And then select the insight that you want to view:
On a custom insight, you can save any changes that you make to it by clicking on the ellipsis and selecting Save, or delete it by selecting Delete:
You can also share the insight with other users by select Share, and then picking the users that you would like to share the insight with:
These users will then be able to see the insight in their own Insights list.
Exporting Insights to PDF
Insights can also be exported to PDF. The PDF can then be printed or emailed to anyone to view who is not a User in Folio.
To export an Insight to PDF click on the Ellipsis on the Insight and click Export to PDF
You will then be able to configure the PDF to include : Chart, Table, Chart & Table. Once you have selected one, clicking Export to PDF will generate the PDF.
The table option allows you to export the insight as a table instead of a chart, while the Chart & Table option will result in the first page of the PDF benign the chart and then the subsequent pages is the table that makes up the chart. This option is useful as it provides more context for the chart.

Insight Snapshots
Insights can also be made into Snapshots on a dashboard.
