Setting up your Organisation Settings are the very first thing that you do in Folio. To get to Organisation click on the Admin gear wheel and then on Organisation.
The Organisation screen contains multiple tabs depending on your Folio licenses,
General
Brand
First things first, let's upload your logo. In Folio your Brand (logo) is used in multiple places in Folio and the emails that Folio sends. Here are some of the uses of your Brand:
- On the Sign in page
- On the bottom left hand corner of most Folio pages
- On most Folio reports
- On public link and create link pages.
Note: If you have an Enterprise Folio subscription you will be able to use multiple Brands, which are explained here
To upload your logo, click on the Manage Brand button at the top of the page.
Then click Upload Logo to pick the Logo from your computers file system.
Note: The Maximum file size for your logo is 500kb, and we accept png, bmp, jpeg file types
You can Also modify the default Brand Colour that is used underneath the logo.
Once it has finished uploading click Update and you will be able to see your Logo on screen.
If you need to remove the Logo at any time simply click on Manage Brand and then click Remove Logo and then update.
You make changes to the rest of the settings in the General section by clicking on the Edit button at the top of the page. :
Title
Enter your Organisation's name in the Title Field, this name will be used in emails to identify your Organisation. It will also be the default Organisation name if you use integrations such as DocuSign.
Support Email
This is the email address that support emails from your users will first be sent to. This address with also receive replies to email notifications and failed email delivery notifications. It is important that you set up a Folio administrator to deal with these initial queries.
Year Start Month
Select a Year Start Month. Most Organisation will set the Year Start Month in Folio to when their Financial Year starts. This ensures that when current year or past year is selected in date filters the results displayed will be based on the financial year.
For e.g. If the Year Start Month is set to July, when a user selects Past Year in a date filter the dates selected will be 1 July to 30 June.
On the other hand if the Year Start Month is set to January then the dates selected will be 1 January to 31 December
The Year Start Month affects all date based filters in Folio and will in turn affect Reports, Snapshots, List Screens and Report Subscriptions.
Time Zone
When selecting a time zone for your Organisation you will most likely select the time zone of Organisation's primary place of business or the time zone of the head office. Individual users may still change their settings to a different time zone or an admin may set their time zone for them in their user record.
If a user has a different time zone setting, any activities that they do in Folio will be recorded based on their time zone.
Daily Digest and other batched notifications are sent based on the Organisation Time Zone
The time zone selected in the Organisation settings is also used to record activities that have no logged in user such as Folios created through a public link and also system events.
Date Format
Select a date format for the organisation. It is important to note that when importing data to Folio, any date fields must use dates that are consistent with this date format.
24hr time
Folio also provides a 24 hour time option, the default setting is 12 hour time, tick to select the 24 hour time setting. This setting affects how time is displayed to the user and recorded in Folio.
ABN Lookup
This feature is used by Australian Contract Management users of Folio, it allows them to integrate with the Australian Business Register when creating new Entities.
Allow Public Links to create new Folios
A public link allows the submitter who is not a Folio user to complete Folio forms and submit them for review.
Allow Public Links to download Documents
If you want to attach reference documents to the public link and want the submitter to be able to download those documents, select this option. This will mean those documents will be publicly available and viewable.
Credential Upload Receipt Text
Contract Management users who use Folio for credentials will need to enter a credential receipt text for credentials that have been uploaded by suppliers.
To Do List Actions Consolidation
If you have multiple instances of the same Action assigned to a user, and all of these assignments are due on the same date, then the user can update all of these Actions at once when completing the Action through their To-do List.
Notifications
The settings in the Notifications section are listed below:
Send Notifications
This is the main switch for Notifications in Folio. When your Folio instance is first deployed, notifications are switched off. Before you go live, remember to switch them back on. The only notifications that will be sent even when Send Notifications are not selected are welcome emails to Folio users.
Include your logo in Notifications
Some Organisations choose to include their logo in their email notifications.
Notification Email Name
By default emails from Folio are called Folio Notifications, you can personalise this name to your Organisation by providing a notification email name.
Please note that all Folio emails come from an email address called noreply@kwelasolutions.com. You will need to get your IT team to white list this email address so that vital Folio emails are not blocked inadvertently.
