Actions enable Organisations to create an assurance framework that ensures that what needs to be done across the Organisation is done.
Actions can be assigned to users. These users can provide updates on whether the action has been done or cannot be done or is in progress.
How do Actions work?
Actions are made up of the following components:
Action: Firstly there is the Action itself. Here are a few examples of Actions:
- Development of a new Human Resources Policy
- Fire Extinguisher Service
Action Assignment: When an Action is assigned to a user, this is called an Action Assignment. The user to whom the Action is assigned is called the Person Responsible. Action Assignments have a due date and could be one off or could repeat. An action may have more than one Action Assignment. Here are some examples:
- Development of a new Human Resources Policy has been assigned to the Human Resources Manager Jim Laker and is due on June 22, 2022.
- Fire Extinguisher Service is assigned to
- Facilities Manager - Sarah Walbank for Business Unit Dendrobium Care and is due on the 15th of every Quarter.
- Facilities Manager - Sarah Walbank for Business Unit Lavender Care and is due on the 15th of every Quarter.
- Facilities Manager - Neil Perry for Business Unit Daffodil Care and is due on the 15th of every Quarter.
Action Result: The Person Responsible for the action updates the action result to provide the Organisation with assurance that the action has either been completed, is in progress or in the worst case cannot be done for some reason.
How can an Organisation use Actions?
Actions can be used to do the following and more:
- Actions may be grouped in categories such as Facilities Management or Work Health & Safety and be assigned to users to create an assurance framework that ensures that these operational areas are functioning as they should.
- Actions may be linked to Folios to create assurance frameworks that ensure that the Folios are being managed. Here are a few examples:
- Strategic Risks can be monitored with risk action plans (one off actions) and risk mitigation actions (repeating actions)
- Contract Deliverables linked to Contracts may be monitored using Actions.
- Incidents can be managed with Incident Management Actions
- Continuous Improvement Plans and Feedback can be managed with Actions
- Action may also be linked to checklists to be used as corrective actions for internal audits.
